The 4-Email Follow-Up Sequence That Books Meetings
80% of replies come from follow-ups, yet most senders stop at one. A proven 4-touch sequence with timing and copy frameworks.
Here's an uncomfortable truth: most cold email replies don't come from the first email. They come from follow-up #2 and #3 — the emails most senders never write.
The sequence below is the template we see working across hundreds of campaigns. Timing: Day 0, Day 3, Day 7, Day 12.
Email 1 (Day 0) — The opener. One specific observation about their business, one sentence on what you do, one low-friction question. Under 100 words.
Email 2 (Day 3) — The bump. Two lines max: 'Floating this back up — [one new relevant point]. Worth a chat?' Short beats clever here.
Email 3 (Day 7) — The value add. Share something useful: a teardown, a benchmark, a quick win for their site. No ask, just value.
Email 4 (Day 12) — The breakup. 'Should I close the loop on this?' Breakup emails consistently pull the highest reply rate of any follow-up — even 'no' is a useful answer.
Two rules: stop immediately on any reply (automation should handle this), and never send follow-up #5. Persistence converts; pestering burns domains.
In Vexrim Outreach, build this once as a sequence template — delays, spintax and auto-pause on reply are all handled for you.
